We’re looking for an enthusiastic, professional receptionist to join our team! You’ll play a crucial role as the virtual face and first point of contact for our organization. You’ll be responsible for accepting and handling calls from current, former, and potential new clients as well as other callers/guests/visitors/vendors on the telephone.
Other responsibilities include answering phone calls and emails, scheduling and calendaring meetings and calls for staff, transferring calls, and other assignments as needed to ensure efficient business operations. Responsibilities:
- Take incoming phone calls
- Direct and Transfer calls
- Screen calls (be the gatekeeper and help protect the valuable time of our attorneys)
- Take messages
- Answer non legal questions related to the status of a case
- Answer basic questions about the firm such as our address, phone number, hours of operation and how to get in touch with our staff
- Schedule meetings, email review, answers to questions, return calls, etc.
- Editing and sending payment links, engagement letters, and sharefile links to clients, vendors, and other individuals electronically and confirming the receipt of these electronic records and the ability of the recipient to find, open and complete the electronic forms.
- Provide administrative support to other team members with data entry, organizing and confirming receipt and completion of onboarding items such as engagement letters and payments and information forms, filing scanned documents, etc.
- Scheduling, calendaring and triaging emails for staff in the firm as needed and after candidate demonstrates capability to handle the other responsibilities of this job.
Qualifications:
- Has experience answering telephone calls and troubleshooting stressful situations
- High school diploma, G.E.D. or equivalent
- Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills
- Has previous experience with word processing programs, data entry programs or software, and basic computer skills
- At least one year of receptionist or administrative assistant, experience, or similar preferred
- C1 or C2 English level
