Position Overview


We are seeking an experienced Virtual Medical Administrative Assistant with a strong healthcare background to support daily administrative and clinical coordination tasks. This role is ideal for someone highly organized, detail-oriented, and familiar with medical workflows, insurance processes, and patient communication.


The ideal candidate will assist with referral authorizations, patient follow-ups, and quality assurance reviews of medical charts to ensure accuracy, compliance, and completeness of required documentation.


Key Responsibilities

  • Process and track medical referrals and prior authorizations

  • Communicate authorization status and referral updates to patients and providers

  • Perform quality assurance reviews of medical charts to ensure required fields, documentation, and clinical data are complete and accurate

  • Identify missing or incorrect data and flag charts for correction

  • Relay clinical and administrative information to patients in a professional and compassionate manner

  • Assist with follow-up coordination related to labs, referrals, and appointments

  • Maintain accurate records in EMR/EHR systems

  • Support compliance with healthcare documentation standards and internal workflows

  • Collaborate with clinical and administrative staff to ensure smooth operations


Required Qualifications

  • Prior experience in a medical or healthcare setting (clinic, hospital, medical office, or healthcare administration)

  • Familiarity with EMR/EHR systems

  • Experience with referrals, prior authorizations, and insurance verification

  • Strong understanding of medical documentation and charting standards

  • Excellent written and verbal communication skills

  • High attention to detail and strong organizational skills

  • Ability to work independently in a remote environment

  • HIPAA knowledge and compliance required


Preferred Qualifications

  • Medical Assistant, Healthcare Administrator, or similar background

  • Experience with quality assurance or chart audits

  • Knowledge of insurance plans (Medicare, Medicaid, commercial plans)
