Pay utility bills through utility software and log accordingly on Google Sheets
Pay monthly management fees in Appfolio
Bill and pay work orders in appfolio
Create and bill various items given by PM within Appfolio
Possibly begin Quickbooks with PM (not currently working within QB, but will be in the future)
Enter vendor bills into AppFolio and match invoices to work orders.
Assist with bank reconciliations
Leasing/Marketing/Renewals Related:
Post and update listings in AppFolio (auto-syndication setup, update descriptions/photos).
Process rental inquiries (respond to leads, schedule showings, send pre-screening questions).
Send and track rental applications.
Run credit/background checks through AppFolio.
Update unit availability status in AppFolio.
Send lease agreements for e-signature.
Monitor and manage leasing pipeline dashboards.
Correspond with all Guest Cards that come in through Appfolio
Assist with leasing inquiries and marketing outside Appfolio such as FB Marketplace
Assist with lease renewals in Appfolio and logging this info on Google Sheets
Send Letters to tenants as needed
Post rental listings and manage inquiries from prospective tenants
Customer Service/Admin Related:
Handle all incoming phone calls, texts, and email communication
Manage and organize documents in Google Drive
Create and maintain spreadsheets using Google Sheets
Perform general administrative tasks
Support daily property management operations
Work Order / Maintenance Related Tasks
Enter and assign work orders in AppFolio.
Update work order statuses (open, scheduled, completed).
Communicate with tenants about repair timelines.
Confirm vendor availability and scheduling.
Upload invoices/photos to work orders.
Close out work orders once resolved.
Track recurring maintenance schedules.
Coordinate and follow up on maintenance requests with vendors or tenants
Gather pricing from local vendors
Acknowledge all tenant work orders received
Catalog time, pictures, and any other attachments needed for work orders
Other Property Management Tasks:
Assist with onboarding of new tenants, including document collection and lease generation
Track rent payments and follow up on late payments
Send mass communications (newsletters, maintenance notices).
Monitor and respond to tenant emails or maintenance portals
Help schedule property inspections and walkthroughs
